The new feature we’re about to release is the manage of related reservations or what we call multiple-reservations. The concept includes a group of reservations on a given period that are related either to the payer, a group or agency, company or simply a group of friends that come to our hotel and make one reservation of several rooms.
Until today, Clerk allowed making related reservations, but managing the check-ins and check-outs was limited and lack of efficiency. This is because at the moment a check-in was made for one room, it also applied for the other rooms reserved -the same for the checkouts- which brought confusion and imprecision to the rooms and clients management.
How does the new reservation engine works? Now you will be able to select through a simple click on the dashboard the rooms on the dates you need.
Once the rooms, dates and time of stay are defined just by clicking them you will be able to edit the data regarding all the reservations included it also can be done by clicking “New reservation”.
As usual you’ll be able to make any discounts or modify the sales condition with the “Price editor” depict by the pencil.
Making a multiple reservation we see that more important that who will use a room is who will pay the room, that is why the next tab will be “Billing”, where you will be able to define weather who pays is a person, agency or company.
Now, if you have got the information you can include who will be using the rooms; if not, Clerk will assign the payer -person, agency or company- data on each room. This is a very important action since you don’t always will know the names of the passengers related to a multi reservation the moment it is made.
As always you can check the Summary of you reservation and if you like to add purchased services to the billing you won’t find any problem to do it, allowing to full the reservation process quickly, clearly and smoothly.
Now this multiple reservation recognizes all defined rooms as a whole without losing any of each room details. This means that you still will be able to manage the check-ins, room charges, who pay, what do they pay and check-outs individualy.
Another new feature at the moment of creating a reservation is that Clerk will automatically send an email to a requested address with a copy to your hotel administration’s email.
